This article covers the "Schedule" tab of "Class Details". This page allows you to define the class schedule. This is an optional process that influences the calculation of class analytics. Class analytics are typically broken down by session/lecture. If no class schedule is defined, Engageli will auto-detect when sessions took place and generate analytics accordingly. When a class schedule is defined, Engageli will instead use the schedule.
Note: There is no way to combine Engageli's auto-detect with user-defined class schedule. Therefore, if you create a class schedule, please ensure you account for all sessions that take place. Any sessions not included in your schedule will be ignored, as far as analytics data is concerned.
Below is a screenshot of an example classroom's "Schedule" tab.
You'll notice the fields that appear on this page are very similar to what you'd see if you were creating events in a calendar application. This is because our scheduler works in essentially the same manner. Below, we will define the fields that appear on this page:
- Title (optional) - This is the title of the event. This can be left empty, unless you plan on sending the class participants a calendar invite for this schedule. In such a scenario, it would make sense to specify a title for the event.
- Day of Week Recurrence - These day-of-week bubbles can be selected to indicate the day of the week class sessions take place. This feature is important if you plan on creating a schedule for a recurring event. For example, if class is held every Wednesday, then you'll want to select the "Wednesday" button to indicate this. If you are creating an entry for a single, non-recurring session, you will still need to indicate the day of the week.
- Start Date - Indicate the start date for the schedule.
- Start Time - Indicate the time for when class starts. This dropdown has entries in 15min increments. If your class start time doesn't land on a 15min increment, select the entry just prior to your class start time.
- End Date - Indicate the end date of the schedule.
- End Time - Indicate the time for when class ends. This dropdown has entries in 15min increments. If your class end time doesn't land on a 15min increment, select the entry that comes just after your class end time.
- Timezone - This field indicates the timezone associated with the classroom. Any schedules you add should be from the perspective of this timezone and not necessarily the one associated with your current location. You can change the timezone configured for the classroom by going to its "Common Configuration" tab. It is important that class schedules are entered with relation to the classroom's timezone, especially if the course spans daylight savings changes. Our system will automatically handle daylight savings changes, but will do so according to the classroom's timezone selection.
- Description (optional) - Similar to "Title", only relevant if you plan on sending out a calendar invite.
- + Create Event - This will add the schedule to the class.
- Delete - This option will appear in the 3-dots menu for each schedule entry that has been added to the class. Selecting this will remove the schedule.
Below are some important notes relating to class schedules:
- Class schedules can be added before or after the event's occurrence.
- When our system detects a change in the class schedule, it will trigger a re-calculation of class analytics. This re-calculation can take up to 15 minutes to process, but the analytics you see will generally reflect your latest changes to the schedule.
- If event invites are sent using the various options that appear on the page, they will contain the classroom's "authenticated link". If your organization uses an LMS platform to access Engageli, we advise against sending event invites, as users might not be able to properly authenticate. Speak with your LMS admin if you have any concerns.
