This article will go over the "Attendance" sub-tab of the "Analytics" tab. This tab will display analytics relating to learner presence for live sessions and recordings. If you're looking to see overall or individual attendance data for live sessions and recordings, this is the page you'll want to review.
The data on this page can be viewed in either a Chart or a List format. By default, the page will load in Chart view. There is a button at the top-right of the page labeled either "Go to list view" or "Go to chart view", which can be used to toggle between the views. The button label will change based on the current view.
There are also a handful of other fields that offer added functionality:
-
Start Date - Date filter for the attendance data. Set the Start Date for the range here.
-
End Date - Date filter for the attendance data. Set the End Date for the range here.
-
Filter by Participant - This section allows you to filter the data by participant types: Registered Learners, Registered Staff, Guest Learners, and Guest Staff.
- Export CSV - Click this button to download the currently-displayed data as a CSV file.
-
Type - This dropdown allows you to filter the data by "Live", "Playback", or "Combined". We'll explain the specifics of each type below:
- Live - This will show attendance data specific to live class sessions.
- Playback - This will show attendance data specific to the Playback Room. That is, for class sessions that were recorded or for manually uploaded videos, this will show data for users who viewed these videos via the Playback room.
- Combined - This will show "Live" and "Playback" attendance data, merged. If you want to see overall attendance metrics, regardless of live or playback, this would be the filter to use.
We'll now cover the details of both the Chart and Live views.
Chart View
The Chart view will display attendance data by class sessions, recordings, or both, depending on the "Type" filter selected. Below is a sample screenshot of the Chart view with the "Live" type selected:
As you can see, the X-axis (Lectures) contains one bar for each session. The Y-axis (Number of attendees) indicates the number of users who "attended" the session. A user counts as having "attended" if their presence met the "Attendance ratio" minimum configured for the classroom. In short, users have to be present in the live session for long enough or watched enough of a recording to count as having attended. If using the "Combined" filter, the user will count as having attended if their cumulative attendance for live and playback room for the specific session meets the "Attendance ratio". For instance, if a participant attended the first half of the session live and the watched the second half via the Playback Room, then they would count as having attended under the "Combined" filter, whereas they might not have met the attendance criteria for "Live" or "Playback" individually.
Note: Class sessions are either auto-detected by our system or manually set via schedules in the classroom's "Schedule" tab. To read more about session schedules, visit the help center page for the "Schedule" tab.
You can also hover your mouse over each bar to see further details. Below is a screenshot of the extra details seen during the mouseover:
The details that appear during the mouseover will vary by the "Type" that is selected, but generally, it will show you the following:
- Timestamp -The day and time for when the live session took place. Alternatively, if the entry corresponds to a manually uploaded video, the day and time the video was uploaded to our system.
- Recording Name - The name of the recording or video associated with the entry. Recording names can be managed under the classroom's "Recordings" tab.
- Number of Attendees - The number of users we count as having attended the session.
List View
The List view will display attendance analytics by user. Below is a sample screenshot of the List view:
The values displayed represent the user's attendance activity for each session or video. We'll describe what each column means below:
- Name - The user's name.
- Email - The user's email address.
- Status - The user's roster status for the class. This value will either be "Active" or "Inactive".
- Attendance - The user's attendance rate for all sessions that match the applied filters. This value will specifically indicate the number of sessions they attended, along with their corresponding average, represented as a percentage.
- Classes - This column contains one bar for each session that matches the applied filters. The bar will either be green or red. Green means the user attended the session; red means the user did not attend the session. You can also hover your mouse over the bars to see additional details, such as the date of the session. Below is an example of the information shown during the mouseover:
Reminder: Take into account the "Type" filter currently selected when reviewing this column. A learner showing red under the "Live" filter could have watched the recording and would show a green bar under the "Playback" or "Combined" filter. - Presence (HH:MM) - This column mirrors the "Classes" column and indicates the presence time our system recorded for the user for each session in HH:MM format. Specifically, for a live session, this value tells you how much of the live session they were present for. For recordings, this value tells you how much of the recording they watched. The font coloring of the values represent the same as the colors under the "Classes" column: Green for having attended; red for not having attended.
Note: If the "Combined" type filter is applied, the values will be displayed as a percentage representing the user's combined presence in live and recorded sessions, rather than in HH:MM format.
