This article will cover the "Recordings" tab, which each classroom will have. This tab can be accessed via "Admin Portal" > "Classes" > select your class from either the "Active Classes" or "Archived Classes" sections > "Recordings". We've provided a screenshot below of an example classroom's "Recordings" tab:
From the "Recordings" tab, you can manage videos that appear in the Playback Room.
Here are some tasks you can accomplish from this page:
- You can upload a video for learners to watch from the Playback Room.
- You can set a specific class recording to Public or Private.
- You can download a class recording's subtitles file for review.
It is important to understand that page is not where staff members would go to manage videos intended to be shared during a live class session; videos that appear here are to be watched from the Playback Room.
Additionally, it is important to distinguish between recordings that are generated from live class sessions compared to "recordings" that videos are uploaded by staff members. We'll describe the differences below:
- Recordings of Live Class Sessions - These recordings are not just simple video files. They also contain a lot of metadata, such as data about polls that were ran during the class and chat messages that were sent to the Room. For example, if the live class session included a poll, then this metadata is what allows that poll to trigger for users watching the recording via the Playback Room.
- Recordings from Uploaded Video Files - These recordings are strictly just the video file the staff member uploaded. They would not contain any metadata and so when watching these in the Playback Room, you would just be watching a basic video file.
Below, we'll go over each field that appears on this page:
- Upload Recording - This button allows you to upload video files. We support a wide variety of video formats, including common ones like .mp4 and .avi.
- Deleted Selected - To delete one or more recordings, check the box that appears next to each entry and click this button.
- Recordings List - This table displays all recordings for the classroom. We'll go over what each column means:
- Private - This column shows whether the recording is Public or Private. Recordings marked Private will not be accessible to learners and won't show up for them in the Playback Room. To toggle a recording's privacy status, click the eyeball icon that appears in this column. An eyeball with a slash through it means it's Private, an eyeball without the slash means it's Public.
- Name - This is the name assigned to the recording. It's also what learners will see when seeing the list of recordings from the Playback Room. For recordings of live class sessions, Engageli will automatically assign the recording a name in the pattern of "Recording 1", "Recording 2", etc. Clicking on the name will allow you to edit it.
- Link to Class - Clicking this will copy an authenticated link that will take you directly to this recording in the Playback Room. Specifically, when you paste the link into your browser, you'll be taken to the Playback Room lobby page. Upon joining the Playback Room, this recording will automatically load into the player.
- Guest Link to Class - This is similar to the "Link to Class" button, but would be shared with guest users--no authentication/login is required with these links.
- Link to File - This link takes you directly to the mp4 file of the recording. If you need to download the recording as a video file, you can right-click this link and select the "Save link as..." option in your browser's context menu. If you plan to download and share the recording, be sure to check with your organization's privacy guidelines.
Note: Downloading the video file associated with a recorded class session will only download the mp4 file. Any metadata associated with the recording would not be included. - Download Subtitles - This column contains 3 buttons that allow you to manage the subtitles/captions (i.e. vtt file) associated with the recording. These buttons allow you to: download the VTT file associated with the recording; replace the existing VTT file; delete the VTT file. When users in the Playback Room enable closed captions from the video player's options, this file is used.
- Class Started On - This column contains the date that the live session took place. If the recording is a manually uploaded video file, we'll instead show "Manually uploaded".
- Duration - This is the duration of the video file in HH:MM:SS format.
- File Size - This will show the size of the video file (e.g. 43MB, 100MB, etc).
