This article will cover the "Content Management" tab found within the "Admin Portal". You can access this tab by going to "Admin Portal" > "Content Management". Below is sample image of this tab:
You may notice that this tab's name is very similar to "Content Manager", which is the name of a tab that appears when viewing an individual classroom's details. This is because they both refer to the same feature within Engageli. The "Content Management" tab allows you to see all content folders that exist for your organization--to which you have access, while an individual classroom's "Content Manager" tab will display only the content associated with that classroom.
This article will focus on the administrative functions of the "Content Management" page. Below are a few examples of things you can accomplish from this page:
- If you need to be able to share the contents you've uploaded to your classroom with other instructors for their own classrooms.
- For a recurring course that utilizes the same media each time, you can organize all the materials into a standalone folder and import it into the classroom designated for each new term.
- If your organization has certain media that is used in all courses, such an an onboarding video, such media can be organized into a standalone folder so that instructors can import it into their classrooms.
To learn more about how content folders are utilized in the classroom, please visit the "Content Manager" article.
There are 2 types of content folders that exist:
- Classroom-Linked Folders - These will be the most common. Whenever a classroom is created, a content folder is automatically created for it and given the same name as the classroom. You can identify classroom-linked folders by looking for folders that do not have an owner. There is no owner for these folders because they were created by our system, not by a user.
- Standalone Folders - These are content folders that were manually created by a user. They are not linked to any classrooms and are typically used as a repository of media to be imported into classroom-linked folders.
Below, we will go over the various fields that appear on this page:
- Add folder - This button can be clicked to create a new standalone content folder.
- Delete selected folders - To delete a content folder, select the checkmark next to it and then click this button. Only standalone folders can be deleted in this way. To delete classroom-linked folders, delete its corresponding classroom, instead, and the folder will automatically be removed.
A table will take up the majority of the page, where a listing of all content folders to which you have access are displayed. Below, we'll describe each column of the table:
- Folder Name - This is the name of the folder. If the folder is linked to a classroom, it will have the same name as the classroom. You can click the folder name to view its contents.
Note: When viewing the contents of a folder, you'll notice the page looks the same as if you were viewing a classroom's "Content Manager" tab. Please visit the "Content Manager" page if you'd like to learn more about navigating this view.
Lastly, for standalone folders, hovering your cursor over the name will reveal an "edit" button that can be clicked to change the folder's name. - Items - This will show the number of items contained within the folder.
- Owner - The name of user who created the folder. Classroom-linked folders will not have any owner listed, as they were created by our system.
-
Visibility - The visibility setting of the folder. Hovering your cursor over the classroom's visibility value will reveal a "share" button that can be clicked to modify the setting. Though there are only 3 visibility settings, how they work in practice can vary depending on whether the folder is a standalone vs classroom-linked. The behavior can further vary depending on whether you are trying to view the folder from the "Content Management" tab vs trying to import contents from a classroom's "Content Manager" folder. Instead of delving into the specific details of visibility settings, we will provide an overview of how they are typically applied in common scenarios:
- Private - Standalone folders set to private can only be accessed by the owner of the folder. For classroom-linked folders, they'll only be accessible by Super Admins and Instructors on the corresponding classroom's roster.
- Public - A folder set to public can be accessed by all Super Admins and Instructors.
- Shared with specific classes - Folders that are shared with specific classes can be accessed by Instructors rostered in those classes.
