This article will cover the "Classes Management" tab of the Admin Portal. This tab can be accessed via "Admin Portal" > "Classes Management". We've provided a screenshot below of how this tab looks and where it appears in the Admin Portal:
Note: The "Classes Management" tab is only accessible to Super Admins.
The "Classes Management" tab enables Super Admins to obtain an overview of all classrooms that exist in the system. This page also allows for a limited number of bulk actions. We'll go over all the features seen on this page below:
- Archive Classes - To archive a class or multiple classes, check the box next to each class, then click this button.
- Unarchive Classes - To unarchive/restore a class or multiple classes, check the box next to each class, then click this button.
- Delete Classes - To delete a class or multiple classes, check the box next to each class, then click this button.
- Upload Class CSV - Click this button if you wish to perform bulk actions on a list of classrooms via CSV upload. The CSV file must include a "classId" or "class_id" column, which corresponds to the unique ID assigned to each classroom by Engageli. The CSV may contain other columns, though they will be ignored. After uploading the CSV, the table will automatically update to show only the classrooms listed in the file. You can then proceed with the bulk actions by selecting the checkboxes next to the desired classes and clicking the appropriate buttons. During this process, the button's label will change to "Exit CSV View", which you can click to return to the full class table.
- Select All X Rows - Use this button to select every classroom listed in the table. The "X" will display the total number of classrooms being selected. This feature is particularly useful when you need to select more classrooms than are visible on the current page, as it will select all classrooms in the search results.
- Deselect X Selected Rows - Use this button to deselect every classroom that is currently selected. The "X" will display the total number of classrooms that will be deselected. This feature is useful in cases where you have multiple classrooms selected across varying pages of the search results: this allows you to quickly deselect all of them.
- Search - To filter the table of classrooms, type in a full or partial Class Name here.
- Advanced Search - Select this icon to open a window that allows you to filter classes by specific criteria. Once you've specified all the values, click the "Search" button within the window to apply the filter. We'll outline each available parameter below:
- Class Name - To filter by a classroom name, key it in here.
- Active/Archived - To filter by a classroom's archive status, select "All", "Active", or "Archived" under this section. By default, the "All" radio button will be selected.
- Archived on Start Date - To filter by the date a classroom was archived, use this field to set the Start Date range.
- Archived on End Date - To filter by the date a classroom was archived, use this field to set the End Date range.
- Day of Week Recurrence - To filter by classrooms that is or was holding live sessions on a specific day of the week, click one or more of the day-of-week bubbles shown here. This parameter only applies to classrooms with schedule entries created through the classroom's "Schedule" tab.
- Instructor Name - To filter by classes where a specific Instructor is on the roster, key the Instructor's partial or full name here.
- Instructor Email - To filter by classes where a specific Instructor is on the roster, key in the Instructor's partial or full email address here.
- External Course ID - To filter by a course's Course ID, also referred to as its SIS ID, key in that value here. This only applies to classes linked to an LMS course.
- External Start Date: Range Start - To filter by a course's indicated Start Date, use this field to set the starting date range. This only applies to classes linked to an LMS course.
- External Start Date: Range End - To filter by a course's indicated Start Date, use this field to set the ending date range. This only applies to classes linked to an LMS course.
- External End Date: Range Start - To filter by a course's indicated End Date, use this field to set the starting date range. This only applies to classes linked to an LMS course.
- External End Date: Range End - To filter by a course's indicated End Date, use this field to set the ending date range. This only applies to classes linked to an LMS course.
- External Term Name - To filter by courses associated with a specific Term (e.g. Summer 2024), key it in here. This only applies to classes linked to an LMS course.
- External Account Name - To filter by courses associated with a specific Account, key it in here. This only applies to classes linked to an LMS course.
- Adhoc Start Date - To filter by classrooms that were set to time-bound on a specific date, enter that date into this field.
- Adhoc End Date - To filter by time-bound classrooms that are set to auto-archive on a specific date, enter that date into this field.
- Class Creation Start Date - To filter by the date the classroom was created, use this field to set the starting date range.
- Class Creation End Date - To filter by the date the classroom was created, use this field to set the ending date range.
The bottom portion of the page will contain a table, listing all the classrooms that exist for your organization--or the ones that match the search filter. We'll describe each column that appears in the table:
- Class Name - The name of the Engageli classroom.
- Long Name - The description associated with the classroom.
- Archived - If the class is archived, its archival date will be displayed here.
- Type - Details about the classroom's "type". Engageli technically has only a single classroom type--this column is really intended to provide additional details about about special flags or conditions on the classroom. We'll go over all the possible values below:
- Ad hoc - This classroom is flagged as time-bound.
- Aggregated - This classroom was created automatically through LMS integration, and its name was specified by the user within the LMS. This type of classroom can have multiple LMS courses linked to it.
- Grouped by owner - This classroom was created automatically through LMS integration, and its name was specified by the user within the LMS. It is similar to the Aggregated type, but involves a slightly different workflow.
- LMS - This classroom was automatically created via LMS integration. The classroom name was auto-generated by Engageli using the course information passed from the LMS. This type of classroom will have only one LMS course linked to it.
- Standard - This classroom has no special flags, it's just a regular classroom that was created by a user from within Engageli.
- Course ID - If the class is linked to an LMS course, the course's ID--also referred to as its SIS ID--will populate here. This value is passed to our system from the LMS.
- Course - If the class is linked to an LMS course, the Course Code will populate here. This value is passed to our system from the LMS.
- Term - If the class is linked to an LMS course, the course's term will populate here. For example, if the organization uses a semester system, you might see something like "Summer 2025". This value is passed to our system from the LMS.
- External Start Date - If the class is linked to an LMS course, the course's scheduled start date will appear here. This value is passed to our system from the LMS.
- External End Date - If the class is linked to an LMS course, the course's scheduled end date will populate here. This value is passed to our system from the LMS.
- Account - If the class is linked to an LMS course, the account under which the course was created. This value is passed to our system from the LMS.
- Creation Date - The date the classroom was created.
- Adhoc Start Date - If the class is flagged as time-bound, the date it was flagged as such will appear here.
- Adhoc End Date - If the class is flagged as time-bound, the date it is scheduled to be auto-archived will appear here.
