This article will cover the "Roster" tab of the Class Portal. This tab displays the classroom roster. Users listed in the class roster can be seen as those who are enrolled in the class. Guest links can be shared with users who need to join the classroom, but aren't on the roster (such as visitors), as these links do not require login. Below is a screenshot of the "Roster" tab:
Below, we'll provide information about each of the items seen on this tab:
-
Participants Filter - This dropdown allows you to filter by class participant types. You can filter by any combination of the following:
- Registered Learners - These users are enrolled in this class as students.
- Registered Staff - These users are enrolled in this class as staff members. This includes Instructors and TA.
- Guest Learners - These users aren't technically enrolled in the class; they joined via the Learner Guest Link. When a user joins via a guest link, the system will automatically create an account for them. The email addresses associated with these accounts are auto-generated by our system--they aren't real email addresses. These accounts are automatically purged if not used for a period.
- Guest Staff - Similar to Guest Learners, but these users joined via the Instructor Guest Link. These accounts are automatically purged if not used for a period.
-
Status Filter - This dropdown allows you to filter the list of class participants by their status. You can filter by any combination of the following:
- Active - These users are allowed to join the class. This is going to be the status for most users on the roster.
- Inactive - These users will not be able to join the classroom. There are many reasons why a user might be set to inactive, such as dropping the course halfway through. The benefit to marking a user as inactive, as opposed to removing them from the roster, is that their analytics data is preserved. This can be useful if the user did attend a few sessions and you'd like that data included in the class analytics.
- User Search - To filter the table of user's by Name or Email, click this magnifying glass icon and type in either value.
-
3-Dots Menu - This dropdown, found at the top-right of the main panel, contains options for bulk importing/exporting participants:
- Import Participants - Select this option if you need to bulk add participants to the class roster via CSV file. The window that appears will prompt you to select a CSV file for upload, as well as offer a template you can download to use as a guide for formatting the CSV.
- Export Participants - Select this option to download the class roster as a CSV file.
- + Add Participant - To add a user to the roster, click the "+ Add Participant" button. This will open a window where you'll be prompted to provide the user's Name, Email, and Role. Once you hit "Save", if we determine that the user already exists in the system, we'll use the name we already on the file for the user, instead of the one that you provided. If you need to change a user's name, please visit the Admin Portal's User Management tab.
The majority of the page will be taken up by a table containing all rostered users of the classroom. We'll describe each column below:
- Name - The full name of the participant.
- Email - The email address associated with the participant
- Role - The participant's role for this class.
- Status - The user's status for the classroom.
-
Created By - The method under which the participant was added to the roster. Below are a few of the values that can appear here and their meanings:
- lti-provision - The user was automatically created via LMS/LTI integration.
- manual - The user was manually added to the roster by another user.
- token - The user joined the classroom using a guest link. This value typically appears for guest users. However, if a person is already signed into Engageli with a registered account and then clicks a guest link, the system will simply add their existing registered account to the roster rather than creating a separate guest user.
-
upload - The user was added in bulk as part of a CSV upload.
wildcard - The user self-registered by providing an email address from a domain that on the allow list under the classroom's "Allow participant accounts in these domains" configuration area.
- Date Modified - The date the user was last modified, as it relates to this class. For example, if they were added to the roster or set to inactive, this value will update.
- External/SIS ID - If this classroom is associated with an LMS course, this is the ID the LMS has assigned to the user.
- Course Source ID - If this classroom is associated with an LMS course, this is the ID of the course under which the user is enrolled.
- LMS Class - If this classroom is associated with an LMS course, this is the name of the course under which the user is enrolled.
- Edit Participant - This column is hidden, but appears once you hover your cursor over a row in the table. Clicking this will open a window where you can edit the participant's Role or Status.
- Delete Participant - This column is hidden, but appears once you hover your cursor over a row in the table. Clicking this will remove the user from the class roster. Class analytics associated with this user will also be purged. If you need to retain the analytics, consider changing the user's Status to Inactive, instead.
