Overview
This article explains the "By Invitation" button, located on the left side of the Playback Room's Bottom Panel. When you select this button, a pop‑up window appears with a shareable link that others can use to join your Playback Room instance. The screenshot below highlights both the button's location and the pop‑up window it opens:
Before moving on, it's helpful to clarify what a Playback Room instance is.
In an Engageli Live Classroom, everyone joins the same classroom instance--every participant is routed into one shared virtual space. Playback Rooms work differently. When you enter a Playback Room, Engageli routes you to a unique, individual instance just for you. The same happens for every other participant who enters the Playback Room. As a result, even if multiple people join the same classroom's Playback Room, each person is placed into their own separate instance, where they work independently. The "By Invitation" button allows you to bring others into your instance so you can collaborate and review materials together.
When you join your own Playback Room instance, you are considered the host. Participants who join your instance via an invitation are not hosts, so a few features normally available in their own instance will not appear for them, since they are not managing the session.
The pop-up that appears when selecting the "By Invitation" button contains 2 options:
- Copy Invite Link - Selecting this option copies a link to your Playback Room instance to your clipboard. Anyone on the classroom roster who has this link can join your instance--there is no separate access list you can manage. If the Instructor has enabled guest links for the classroom, then anybody will be able to join your Playback Room instance using this link--they do not need to have an account with your organization. Be sure to share this link only with authorized users.
- Reset Link - Normally, the link to your Playback Room instance remains the same and does not expire. Selecting this option generates a new link and invalidates the previous one.
Notes
Below are some important notes regarding the Playback Room invitation feature:
- You cannot join another participant's Playback Room instance unless a host is present in the room.
- If you are the host of a Playback Room instance and need to leave, you can temporarily assign another participant as the host if discussion needs to continue without you. This change remains in effect until the session ends.
- When a user navigates to your Playback Room instance's URL, your name will appear at the class lobby page to help them confirm that it is your room that they are about to join, as highlighted in the below screenshot:
