As part of our commitment to data security, privacy, and system efficiency, Engageli has established an enhanced procedure on handling and retaining data on our platform, including classes, user information, analytics, recordings, and other associated data.
Data Deletion Upon Contract Termination or Customer Request
- In alignment with our policy and each customer agreement, when a contract ends, the data retention period ends, or a customer requests data deletion, the data is deleted immediately unless otherwise agreed in the customer contract.
- Backup data is also permanently removed after 30 days.
- This process reflects our existing policy and does not represent any change.
Data Deletion and Customer Actions
- Under the terms of our contract and privacy obligations, there is no inherent obligation for Engageli to delete data beyond the above.
- However, in cases where the customer independently deletes class data, the responsibility for such actions lies with the customer.
This is addressed in detail below.
Non-recoverability of Deleted Data
- Once an instructor or administrator deletes a class, all user data/engagement data, recordings data/files uploaded to the class, and chat history are deleted.
- This includes all related information and data associated with the deleted items.
- We encourage instructors and administrators to carefully review any items before deletion and recommend the following actions as an alternative if the deletion is planned before the data retention period ends:
- Recordings can be hidden from view, preventing users from seeing them in the playback room.
- Classes can be archived to remove them from the active view.
- Users can be set to ‘inactive’ status on the class roster or in User Management.
- According to each customer contract, Engageli may charge a data retention fee if a recording becomes hidden. Please make sure that data is deleted within the agreed upon data retention period.
Assistance with Upload Errors
- In cases where an item, such as a recording or data file, was not correctly uploaded or encountered an error during upload, we may be able to help restore it.
- Instructors or administrators are requested to report upload issues as soon as possible, as restoration may not be possible if too much time has passed.
